General Objective: The University Council Secretariat is responsible for conducting the necessary preparatory and procedural tasks for convening the University Council.
Responsibilities:
- Receiving required topics and presenting them to the University Council, ensuring completion of regular procedures. This includes preparing related memoranda by the assigned employee.
- Copy and present memoranda to the University Council after ensuring proper form completion. This is followed by preparing the agenda based on these memoranda.
- Copying session minutes after preparation and presenting them for signature by the authorized person.
- Preparing executive letters for decisions issued by the University Council, ready for signature by the authorized person.
- Notifying relevant parties about signed executive decisions for implementation, with copies sent to the relevant department.
- Preparing periodic follow-up reports on Council decisions to indicate implemented and pending actions and reasons for the status. These reports are submitted to the authorized person for instructions.
- Maintaining a record of the number of Council sessions attended by members for the proper distribution of rewards.
- Preparing copies of the minutes of the University Council, and sending them to the office of the President of the University, its agents, deans, and the Legal Department.
- Preparing a subject index of the decisions of the University Council and keeping the minutes of the sessions and memoranda related to it in a particular folder.
- Submitting external correspondence regarding addressing ministers, and those in their position, to the President of the University for signature, and whoever he delegates to do so.
- Preparing periodic reports on the activities of the Secretariat of the University Council, its achievements, and proposals for developing its performance.
- Any other tasks assigned to it.
